Contracts
Everything below is a number you can check
Contract rates, the reactive rate card, the response matrix and the statutory calendar. Nothing here is “from”, nothing is “POA”, and nothing changes when you tell us the size of your estate.

What goes on the register
Every unit we maintain is tagged, photographed and entered with its make, model, serial, location, refrigerant type and charge in tonnes CO₂e — because the charge is what sets your legal leak-check interval, and most inherited registers do not record it.
Split and multi-split systems
Wall, cassette, ducted and floor-standing. Typically 1.5–14 kW, R32 or legacy R410A.
- Planned interval
- 2 visits / year
- Typical charge
- 1.2–7 t CO₂e
VRF and VRV
Outdoor modules, branch selectors and indoor fan coils on a shared circuit. Charge is per system, not per indoor unit.
- Planned interval
- 2–4 visits / year
- Typical charge
- 18–120 t CO₂e
Packaged chillers and dry air coolers
Air-cooled to 800 kW, glycol circuits, pumps and buffer vessels. Approach temperature and run hours trended visit to visit.
- Planned interval
- 2–4 visits / year
- Typical charge
- 60–500 t CO₂e
AHUs, HRV and extract
Belts, bearings, dampers, actuators and filters to ePM1 or ePM10 under ISO 16890 — the grades that replaced F7 and G4.
- Planned interval
- 2–4 visits / year
- Filter change
- 6–12 monthly
Kitchen extract and grease ductwork
Canopies, filters and the duct run itself, cleaned and certificated to BESA TR19 Grease with photographic evidence at each access point.
- Clean interval
- 3–12 monthly by use
- Signed off by
- BESA GHT
Controls, BMS and switchgear
Trend, Tridium, BACnet and Modbus. Time schedules, setpoints, deadbands and sensor calibration — reviewed, not just backed up.
- Planned interval
- 1–2 visits / year
- Reported as
- Setpoint audit
Contract tiers
Priced per asset, per year
Ex VAT, for a typical split within 45 minutes of Tyseley. Larger plant is quoted on survey against the same rate card. What separates the tiers is what the visit is allowed to consume — not how nice we are to you.

What a breakdown costs if it is not included
Charged in 30-minute increments after the first hour. Travel inside the 90-minute radius is not charged to contract customers. These are the 2026–27 rates and they are the same rates that appear in the contract you sign.

The statutory calendar
What the law makes you do, and when
The intervals below are not our schedule — they are the statutory ones. Your contract is built around them so that compliance happens as a by-product of maintenance rather than as a panic in March.
Leak check, 12-monthly
Most single splits and small VRF. Halved to 6-monthly only if the system has no fixed leak detection and sits at the top of the band.
Leak check, 6-monthly
Larger VRF and most packaged chillers. Fixed leak detection halves the frequency again and usually pays for itself inside three years.
Leak check, quarterly
Industrial refrigeration and large chiller plant. Fixed detection is effectively mandatory at this scale.
TM44 inspection
Any building with air conditioning rated 12 kW or more, including several small units that only add up to 12 kW. Report lodged on the national register.
The first visit
Half a day, and you own what comes out of it
The survey is free and it is not a sales call. We walk the plant with whoever holds the keys, tag every asset, photograph every nameplate, and read the charge off the plate rather than guessing it from the model number.
You get the asset register as a spreadsheet, the condition report as a PDF, and a costed list of anything we found that needs attention before a contract could sensibly start. All three are yours to keep and to show to whoever else you are asking. Four customers this year have used ours to renegotiate with their incumbent instead of switching, which is a fair outcome.

The small print, in advance
How is an asset counted if one outdoor unit serves eight indoors?
As one system for refrigerant and leak checking, and as eight assets for the planned task set — because eight fan coils genuinely take eight times as long to filter and clean as one. The survey shows you exactly how your site is counted before you are asked to sign anything.
What is not covered at any tier?
Replacement plant, refrigerant beyond a top-up on a system with no active leak, damage from third parties or misuse, works arising from a design fault we did not create, and anything requiring scaffold or a mobile platform. Those are quoted separately, against the same rate card, and never started without a written order.
Do you subcontract?
Rarely, and never for anything under the F-Gas regime. Scaffold, specialist crane lifts and asbestos surveys go to named firms we have used for years, and they are disclosed on the quotation with their own accreditation numbers. Any subcontractor doing refrigerant work would have to hold their own company certificate — that is the law, not our policy.
Can we start mid-year?
Yes. The first invoice is pro-rated to the next quarter day and the statutory clock starts from your existing records, not from our arrival — so if your leak check is due in six weeks, it happens in six weeks.
